Job description

We are looking for an enthusiastic, motivated individual to join our team. The front of house team is the first point of contact for patients; therefore, they need to be professional, friendly and helpful. Some patients will be nervous, and they need to be welcomed into a calm and reassuring space.

We expect to be busy and therefore require a dynamic, enthusiastic person who also will support the Managing Director and clinical team in all manners of administration work to ensure the smooth running of the clinics. The successful candidate will need to demonstrate excellent communication skills and be motivated to learn new skills as our clinic and services grow.

Key responsibilities:

· Ensuring relevant paperwork is prepared for clinics

· Booking in and out of patients, booking follow up appointments, using in-house software system (training is provided)

· Knowledge and ability to discuss packages available at Venturi

· Filling and keeping track of case notes

· Answering the telephone

· Management of the clinic’s emails

· Social media management

· Support clinic growth

· Stock management

· GP letter writing

· Support the team with cleaning duties in line with COVID protocols

· Adhoc tasks requested by the clinic’s Managing Director

Person Specification Essential:

  • Excellent verbal and written communication skills
  • Excellent time keeping
  • Ability to use initiative and be adaptable
  • Ability to work effectively on your own
  • Experience of working in a healthcare environment
  • Computer literate
  • Experience of using social media

Education:

  • GCSE or equivalent (Required) – English and Maths

Experience:

  • Administrative experience: 2 years (Preferred)

Language:

  • English (Required)

Administrative Duties:

  • Scheduling
  • Carrying out requests from management as needed
  • Maintaining stock and ordering supplies
  • Answering emails and sorting post
  • Answering phone calls and transferring them as necessary
  • Managing website functions and social media
  • Greeting and welcoming visitors

Financial Duties:

  • Expense reports
  • Processing payments
  • Billing
